Full-time position
About Farsight Vision
Farsight Vision develops AI-powered geospatial intelligence solutions for defence and security operations. The platform transforms raw aerial and sensor data into real-time 3D environments, actionable analytics, and AI-assisted operational scenarios, enabling enhanced situational awareness, mission planning, and faster decision-making for both human operators and autonomous systems. We operate at the intersection of geospatial data, computer vision, and defense operations — and if that interests you, read on.
We are looking for an Executive Assistant to own the CEO’s time, travel, logistics and follow-ups end to end — acting as her second memory and the point where executive-team agreements actually turn into action. This is not a role for someone who waits for instructions and reports problems: when something breaks, you come back with two or three ways to fix it, and you have usually already started on one.
Responsibilities
Our platform is actively used by the Armed Forces in live operations. As an Estonian-Ukrainian defence technology company handling sensitive operational data, we have a responsibility — legal, ethical, and practical — to ensure the integrity of everyone on our team.
All candidates must be able to confirm the following:
Why Farsight Vision
We are a startup operating under real-world conditions — our product is in active deployment, and the pace reflects that. Plans change on Friday evenings, and calls with military partners don’t always happen during office hours, so we need someone who stays reachable and finds a way instead of an excuse. We value people who own problems rather than complete tasks, treat process as a means to a result, and enjoy picking up new tools as the company grows.
Flexible working hours. Paid vacation and sick leave. Direct access to founders and leadership.

Responsibilities
- Own the CEO’s calendar and inbox: prioritize requests, protect time for deep work, and catch the 10-minute overlap before it becomes a problem
- Act as a firm but polite gatekeeper, saying “no” on the CEO’s behalf when it protects her priorities
- Prepare meetings end to end — agendas, short briefs and background materials — so the CEO walks in with full context
- Track every action item after a meeting until it is actually closed, not just noted, and keep task trackers current so nothing important gets lost
- Draft professional emails, presentations and short reports in English and Ukrainian
- Run domestic and international travel from start to finish — flights, accommodation, visas, transfers and itineraries — and rebuild plans fast when they change
- Handle whatever needs doing on short notice, including occasional personal tasks that keep the CEO focused on growing the business
- 2+ years as an Executive Assistant, Personal Assistant or in an operations role supporting founders or C-level leaders, preferably in IT or startups
- Calm under pressure and comfortable with a pace that doesn’t always fit standard working hours
- Absolute discretion with confidential business and operational information
- Proven ability to handle complex travel bookings and shipping logistics
- A track record of solving problems on your own — finding a rare spare part, getting a table at a fully booked restaurant, or rescuing a failed delivery
- Strong attention to detail: you are the person who catches the typo in a document
- Confidence with Google Workspace, Slack, Confluence or Jira, and AI productivity tools
- Fluent Ukrainian and Upper-Intermediate+ English, comfortable writing professional emails and speaking with international partners
- A valid driver’s license
- Experience in defence tech, government or military-adjacent environments
- Experience organizing international business trips, conferences or trade shows
- Experience setting up simple systems (templates, trackers, checklists) that make an executive team run more smoothly

- Neither you nor your close relatives (parents, spouse, siblings, children) reside in Russia, Belarus, or temporarily occupied Ukrainian territories.
- You have no regular personal, financial, business, or professional contact with individuals in those territories.
- You consent to a deeper security verification if the process advances to later stages.
