Director, Data Operations

Location:

POSITION SUMMARY (Basic purpose or primary function of job)

Reporting to the Director, Data Operations, the Manager, Revenue Operations owns the accuracy of how financial transactions — Major Gifts, Planned Gifts, Donor-Advised Funds, Sponsorships, and Direct Marketing — are recorded and tracked through CRM and connected platforms. This role does not oversee organizational financials or accounting; it ensures that CRM data faithfully and consistently reflects revenue activity across all major revenue lines, so that Constituent Strategy & Operations, Community & Development, markets, and national departments can leverage CRM reporting on our different revenue lines. The role partners closely with the CRM team on technical implementation and with Finance on reconciliation, without owning either function directly.

JOB RESPONSIBILITIES (Principal responsibilities or job duties)

  • Establish and maintain standards for how each revenue type (Major Gifts, Planned Gifts, DAFs, Sponsorships, Direct Marketing) should be recorded in CRM, in partnership with the CRM team on any technical configuration needed to support those standards
  • Build and maintain training materials for staff who record transactions, covering correct coding, timing, and platform-specific requirements across all connected systems
  • Actively monitor data quality across revenue-related CRM records, running regular audits, identifying discrepancies, and tracking issues through to resolution
  • Produce and deliver regular reporting to markets and national departments on the status of their major revenue lines
  • Partner with Finance on reconciliation questions related to CRM-recorded revenue, without taking on ownership of the financial close process
  • Partner with the CRM team to translate data-quality findings into system-level fixes, enhancement requests, or workflow changes
  • Escalate systemic or recurring data-quality issues to the Director, Development Operations for prioritization against the broader platform roadmap
  • Collaborate with Community & Development and other revenue-generating departments to ensure new campaigns, appeals, or products are set up in CRM in a way that supports accurate downstream reporting
  • Create and maintain documentation of revenue-recording processes and data-quality procedures

REQUIRED EXPERIENCE & EDUCATION

  • At least 3–5 years of experience in nonprofit development operations, gift processing, or CRM data administration
  • Strong working knowledge of Salesforce NPSP (or comparable CRM) and how revenue transactions flow from intake through reporting
  • Demonstrated experience developing training materials and training non-technical staff on data entry standards
  • Strong attention to detail and comfort working with data quality tools, audit processes, and recurring reporting
  • Excellent written and oral communication skills, including the ability to explain data standards to non-technical, cross-departmental audiences
  • Experience partnering with Finance or accounting teams on reconciliation-adjacent work preferred
  • Familiarity with nonprofit revenue types (major gifts, planned gifts, DAFs, sponsorships, direct marketing) preferred
