Payroll and Finance Operations Manager

About the role
We are looking for a Payroll & Finance Operations Manager to own our monthly team payment cycle end to end, from compensation calculations to approved and executed payments, for a distributed team of employees and contractors across several countries, currencies and payment rails (including crypto).

What you will do
Monthly compensation cycle:
Review and approve the monthly salary file prepared with HR: working hours, overtime, bonuses, benefits, salary changes, new joiners and leavers.
Calculate and apply exchange rates, and review and approve monthly sales commissions.
Prepare separate payment files for fiat and crypto payouts.
Coordinate with our outsourcing partner’s CFO on their monthly services file, and review it together with the corresponding invoice.
Sign off on the match between bills in Xero and salary file totals by currency before payments go for approval, and investigate any material differences.
Approvals and payment execution:
Prepare and send payment approval requests to leadership, with clear breakdowns of totals, services, compensation, reimbursements and special cases (prepayments, changed bank details, Deel adjustments, commissions).
Track approvals through to completion and follow up as needed.
Set up crypto payments in MEOW and verify fiat payment batches in Wise and Revolut before they are released.
Handle payment exceptions: stop or cancel erroneous payments, respond to Wise requests for supporting documents, and set up deferred payments for late invoices or approvals.
Cash and control:
Monitor liquidity for contractor payments, subscription accounts and business-trip accounts, and flag funding needs to leadership in advance.
Handle non-standard client payment methods, KYB forms and new invoice templates.
Coordinate with the Accountant on reconciliation exceptions and special payment cases.
Reporting and coordination:
Prepare internal reports for leadership, including income by client and headcount by department.
Act as the main finance point of contact for leadership, Sales, HR and external partners on payment questions.
Spot recurring issues and turn them into clear processes and checklists.

What we are looking for
4+ years of experience in payroll, finance operations or financial control, ideally in an international tech, SaaS or fintech company with a distributed team.
Hands-on experience running monthly payments for contractors and employees across multiple countries and currencies.
Working knowledge of Xero or another cloud accounting system, plus payment platforms such as Wise or Revolut.
Experience with crypto payments (USDC/USDT); experience with Deel is a plus.
Fluent English for written and spoken communication with leadership and partners.
Strong attention to detail: you double-check numbers before money moves, not after.
Ability to manage parallel deadlines in a fixed monthly cycle and stay calm with frequent context switching and dependencies on other people’s input.
